EVENT RENTALS & EXPERIENCES FAQ

Everything You Need to Know About South Florida Event Rentals

Planning an event in Miami, Broward or Palm Beach? Explore popular questions about LED dance floors, photo booths, event lighting, LED screens, illuminated entrances, special effects, staging and complete event production.

How much do event rentals cost in Miami and South Florida?

Event rental pricing depends on the service, size, rental time, venue access, setup requirements and whether you are booking one experience or a larger production. Smaller lighting and photo experiences may cost far less than a large LED dance floor, video wall or multi-service production. You can review current starting prices in our South Florida event rental experiences, then request a custom quote for your venue and date.

Is it cheaper to book several event rentals together as a package?

A package can be a better value when you need several coordinated services because delivery, setup, staffing and production planning can be combined. Special Memories FL offers packages for weddings, quinceañeras and Sweet 16s, corporate events, birthdays, and Bar or Bat Mitzvahs. You can compare options on our South Florida event packages page or build a custom combination.

How far in advance should I book event rentals for a wedding, quinceañera or corporate event?

Reserve as soon as your event date and venue are confirmed, especially for popular Saturdays and productions that require an LED floor, screens, staging, multiple booths or entertainment. Larger installations require more planning for venue access, power, staffing and setup time, so earlier booking gives you more flexibility.

What size dance floor do I need for 100, 150 or 200 guests?

The right dance floor depends on guest count and how many people are expected to dance at the same time. As a practical guide, events around 80–120 guests often use a 16×16 or 18×18 floor, approximately 150 guests often use a 20×20 floor, and events near 200 guests may move up to a 24×24 floor. Venue layout and event style can change the recommendation. Explore our Pixel LED dance floor rentals for additional sizing guidance.

What is the difference between a Pixel LED dance floor and an Infinity LED dance floor?

A Pixel LED dance floor is designed for changing colors, patterns, names, graphics and simple logo-style visuals. An Infinity LED floor creates a dimensional mirror-depth effect that feels more reflective and three-dimensional. Both are light-up dance floor options, but the visual style is very different, so the better choice depends on your event design and the look you want in photos and video.

Can an LED dance floor be installed outdoors or on grass?

Outdoor installation may be possible when the floor has a stable, level surface and an appropriate weather plan. Grass, uneven ground or unstable surfaces may require a subfloor before the dance floor is installed. Covered conditions are generally preferred for LED equipment. Final placement is confirmed after reviewing the venue and setup area.

What is the difference between a 360 Photo Booth and a regular photo booth?

A 360 Photo Booth is primarily a video experience: guests stand on a platform while a rotating camera creates short videos with music, slow motion and custom branding. Traditional photo booths such as an iPad Booth or Magic Mirror are designed around still photos, digital sharing and, depending on the package, printed keepsakes. See our 360 video booth rental options.

How much space does a 360 Photo Booth need at a venue?

A 360 booth needs more room than the platform itself because the rotating camera arm, lighting, attendant and guest entry area all need clearance. The exact footprint depends on the platform size and venue layout. We recommend confirming the booth location before the event so it does not interfere with guest traffic, tables, doors or emergency access.

Which photo booth is best if I want printed photos instead of videos?

If printed keepsakes are the priority, an iPad Photo Booth, Magic Mirror or another print-based photo experience is usually a better fit than a 360 Booth. The 360 is built around short branded videos, while photo booths focus on still images, templates, backdrops and prints. The best option depends on whether you want a video activation, printed souvenir, premium DSLR look or open-air setup.

How many uplights do I need for a wedding or ballroom?

Many reception spaces use approximately 20–30 wireless uplights, while larger ballrooms or rooms with many columns and architectural features may require 40–50 or more. The quantity depends on wall length, spacing, room shape and how dramatic you want the lighting to feel. See our wireless event uplighting options for additional planning guidance.

Can event uplighting match my wedding colors, quinceañera theme or company branding?

Yes. Wireless LED uplights can be programmed around wedding colors, quinceañera themes, corporate branding and different event zones. Lighting can be used on walls, columns, draping, entrances and around the stage or dance floor to create a more coordinated room design.

What is the difference between an LED video wall, a vertical LED screen and an LED poster display?

An LED video wall is the larger horizontal option for stages, presentations, videos and major visual content. A vertical LED screen is a taller portrait display that works well beside stages, at entrances and for branding. LED poster displays are slimmer digital signs used for welcome graphics, schedules, sponsor content and directional messaging. Explore our vertical LED screen rentals to compare portrait display layouts.

What content can I show on LED screens at an event?

LED displays can show prepared photos, videos, logos, monograms, welcome messages, sponsor graphics, company branding, announcements and custom event visuals. Portrait content is especially effective on tall vertical LED screens, while wider video content is better suited to a horizontal LED wall. Content should be prepared and approved before the event so it can be organized and tested.

Are LED arches and LED tunnels the same thing?

These terms are often used for similar illuminated entrance concepts. An LED tunnel is typically created by repeating multiple illuminated arch or geometric rows so guests walk through a lighted pathway. Depending on the design, people may also search for LED arches, illuminated arches, geometric light arches or an illuminated entrance.

How many LED arches or tunnel rows do I need for an event entrance?

Four illuminated rows are a common starting point for a defined entrance, while additional rows create a longer and more immersive tunnel. The final quantity depends on the length of the walkway, spacing between rows, available ceiling height and how dramatic you want the entrance to look.

Are Cold Spark machines allowed indoors at South Florida event venues?

Cold Spark effects are used at many indoor events, but approval should never be assumed. Venue policies and local requirements can vary, so the effect must be reviewed with the venue before installation. Our team coordinates placement and timing once the event location and venue requirements are confirmed.

What is Dancing on the Clouds, and how is it different from a regular fog machine?

Dancing on the Clouds is a low-lying dry-ice cloud effect designed to stay close to the dance floor for a featured moment such as a wedding first dance or quinceañera family dance. It is different from a general fog or haze effect that fills more of the room. Learn more about our Dancing on the Clouds experience.

Can Dancing on the Clouds and Cold Sparks be used together?

Yes. Low-lying clouds paired with synchronized Cold Spark fountains are a popular combination for wedding first dances, quinceañera dances, grand entrances and other featured moments. The timing, placement and venue approval should be coordinated in advance so both effects work together safely and cleanly in the event timeline.

What size event stage do I need for a DJ, speakers, awards or live entertainment?

Stage size depends on how many people and pieces of equipment need to be on the platform. An 8×16 stage is a common starting point for DJs, speakers and smaller presentation areas, while bands, award programs, dance performances or larger corporate productions may need more width or depth. The final recommendation should account for equipment, steps, screen placement and safe movement on stage.

What power and venue access do LED floors, screens and event production require?

Requirements vary by installation. Larger LED floors and screen setups may need dedicated electrical circuits, while staging and production equipment also require sufficient load-in access. Before the event, it is important to confirm power locations, loading areas, elevators, door widths, setup times and any venue restrictions. Larger productions are planned around those details before installation day.

How long does setup and teardown take for event rentals?

Setup time depends on the number and complexity of the rentals. A large LED dance floor can take around three hours to install, while a production with staging, screens, lighting, entrances and multiple interactive experiences may require a longer venue access window. We coordinate setup and teardown around the venue schedule and event start time.

Can one company coordinate the dance floor, photo booths, lighting, screens, staging and entertainment?

Yes. Special Memories FL can coordinate multiple rentals and production elements through one plan, including LED dance floors, photo and video booths, uplighting, LED displays, staging, DJs, special effects and live entertainment. This makes it easier to plan load-in, placement, timing and visual consistency across the event. Browse our complete event packages for examples of coordinated combinations.

Do event rentals include delivery, professional setup and breakdown?

Professional setup and breakdown are included with many Special Memories FL rentals, while delivery can vary by the service, package, event location and whether multiple experiences are booked together. For example, the 360 Photo Booth includes delivery, setup and breakdown, while Pixel LED dance-floor delivery and any required subfloor are quoted separately. Package pages clearly identify when delivery, setup and teardown are included so you know what is covered before booking.

Yes. Special Memories FL provides event rentals and production throughout Miami-Dade, Broward and Palm Beach County, including Miami, Coral Gables, Kendall, Fort Lauderdale, Boca Raton, Royal Palm Beach and West Palm Beach.
